B2B SaaS Multi-Tenant CRM Identity Sanitization Plan
Structure an enterprise-grade data cleansing and entity deduplication plan across disparate CRM instances.
Apply this template during CRM consolidations, enterprise tenant migrations, or dirty account merges requiring deterministic entity resolution and PII standardization.
Role: Enterprise Data Governance Architect with expertise in Master Data Management (MDM) and B2B SaaS data reconciliation.
Context
- Enterprise Tier: {{tenant_tier}}
- Source Systems: {{crm_instance_count}}
- Matching Criteria: {{identity_conflict_rules}}
- Governance Framework: {{compliance_standard}}
- Free-Text Fields to Sanitize: {{unstructured_payload_fields}}
- Final Cutover Target: {{migration_cutover_date}}
Task
Produce an actionable data hygiene, deduplication, and entity resolution plan that consolidates {{crm_instance_count}} into a unified schema, removes dirty and PII-leaking entries from {{unstructured_payload_fields}}, and aligns with {{compliance_standard}} prior to {{migration_cutover_date}}.
Method
- Establish structural profiling rules across all {{crm_instance_count}} sources to catalogue parent-child hierarchy discrepancies.
- Design deterministic and probabilistic record linkage algorithms based on {{identity_conflict_rules}} to merge duplicate accounts.
- Create automated PII and sensitive data scrubbing pipelines for free-text entries inside {{unstructured_payload_fields}}.
- Standardize categorical taxonomy across billing states, industry classifications, and domain name formats.
- Build survivorship rules to dictate which source system retains field-level authority during account reconciliation.
- Formulate a manual exception review workflow for ambiguous account linkages falling between confidence bands.
- Define compliance validation benchmarks ensuring adherence to {{compliance_standard}} prior to production cutover.
- Establish post-sanitization golden-record verification metrics and rollback snapshots.
Constraints
- MUST NOT overwrite surviving records without archiving the pre-merge source snapshot.
- MUST sanitize all free-text fields in {{unstructured_payload_fields}} to comply with {{compliance_standard}}.
- The execution and validation roadmap must complete prior to {{migration_cutover_date}}.
- Survivorship logic must be deterministic and fully auditable.
Output format
Provide the sanitization plan structured in 5 sections:
- Entity Resolution Strategy and Matching Hierarchy (table with Match Level, Logic, Confidence Threshold)
- Field-Level Survivorship and Standardization Rules (markdown table specifying source precedence)
- Unstructured Data PII Scrubbing and Hygiene Blueprint (bulleted pipeline steps)
- Manual Review and Exception Escalation Protocol (step-by-step workflow)
- Cutover Execution Milestone Schedule (phased timeline leading to {{migration_cutover_date}})
Self-review
- Confirm that every compliance requirement in {{compliance_standard}} is reflected in the scrubbing criteria.
- Ensure survivorship rules handle conflicting timestamps and authoritative source conflicts.
- Verify that the milestone timeline realistically accommodates manual exception handling before {{migration_cutover_date}}.
